The Development and Alumni Relations Department (including the OA Club) is part of Abingdon School. Abingdon School has a full Data Protection Policy available via its website.


What data do we collect?

The personal data that the Development and Alumni Relations Office collects on Old Abingdonians (OAs) consists of name, date of birth, address, degree course, interests, achievements, career details, and other information that you may have given us or we have collected subsequently. We hold similar types of personal information for parents (current and former), governors, donors, friends of the School, as well as any staff who may fall into any of these categories, that has been collected by the School at the time of registration or subsequently.

Personal data will usually be collected on joining the School, leaving the school (in the case of OAs) or when the relationship with the School begins (donors, parents etc). Some data on OAs and others may be collected from third parties (other OAs, OA parents or siblings, LinkedIn, social media, donor research, career events etc).


How we use your data

For the purposes of the Data Protection Act 2018 (DPA) and the General Data Protection Regulation, Abingdon School is the ‘data controller’ of data on OAs and others. This data will be processed strictly in accordance with the DPA and GDPR and in the legitimate interests of the Development and Alumni Relations Office in order to:


  • Communicate and promote the events and activities of the OA Club and Abingdon School.
  • Send invitations and information about forthcoming events and activities of the OA Club and Abingdon School.
  • Send publications, such as Abingdon News (termly Abingdon School newsletter) and the Griffen (annual OA Club magazine). This includes updates on current initiatives, events and impact reports.
  • Fundraise for bursaries, facilities, and various projects and activities critical to Abingdon School.
  • Carry out any other tasks critical to achieving the constitutional objectives of the OA Club.
  • Fundraising and Donor Research


The Development and Alumni Relations Office engages in fundraising activities to further the School’s aims. To do this, we may undertake in-house research to gather information about former pupils, parents and other Abingdon contacts on our databases from publicly available sources (for example, Companies House, the Electoral Register, company websites, social networks such as Linkedin, political and property registers and news and other archives). We may also carry out similar wealth screening using trusted third parties to fast track this research and carry out research using publicly available information to identify individuals who may be inclined to support us but with whom we are not already in touch. This research helps us to understand more about you as an individual so we can focus the conversations we have with you about fundraising and volunteering in the most effective way and ensure that we provide you with an experience which is most appropriate for you.


Due Diligence

We use publicly available sources to carry out due diligence on major donors in line with the charity’s Gift Acceptance Policy and to meet money laundering regulations.


Who has access to your data?

Data about alumni and others is held securely in a database of Abingdon School and is treated confidentially and with sensitivity for the benefit of Abingdon School. Such data may be made available to academic and administrative departments of Abingdon School, elected members of the OA Club Committee, OAs who assist the OA Club Committee as representatives from their respective year group and OAs who volunteer to lead alumni events (in the case of OAs helping with events, this information will be limited to name and email address). The data will not be disclosed to third parties or external organisations other than those acting as agents for Abingdon School (normally for fundraising purposes – mailing houses, third party research companies etc) and the data is not transferred overseas. Personal data is kept for the purposes of the administration of the Development and Alumni Relations Office and for the period of time an individual wishes to remain in contact with this department of the School.


Subject rights under the DPA/GDPR

Data subjects have certain rights under the DPA and GDPR, including a right to be given access to data held about them by any data controller and a right to be removed from our database. You also have the right to opt out of the use of your data for any of the purposes specified above. Should you wish to opt out or be removed from our database or access your data, please contact the Development and Alumni Relations Office in writing via the email below.
